The Arab American University is seeking to hire Three Secretaries on the University Ramallah/Ramallah on a temporary full-time contract.
The employee is expected to be organized, cooperative, and professional at work. The employee is also expected to organize and manage documents and files, in addition to coordinate daily activities to ensure smooth workflow.
Duties and Responsibilities:
- Organize and manage incoming and outgoing mail, reports, electronic and paper documents accurately.
- Prepare correspondence and reports in Arabic and English.
- Save electronic and paper files, documentation, and ensure the availability of documents in an easily accessible manner.
- Manage and organize appointments, schedule meetings, and ensure the availability of necessary documents and reports.
- Coordinate with faculty members, staff, and students regarding academic and administrative affairs.
- Arrange travel procedures for the direct manager on missions outside the country.
- Receive visitors, deal with them politely, and guide them effectively.
- Answer phone calls and direct callers effectively.
- Coordinate and manage daily activities in the office and ensure accurate and smooth workflow.
- Maintain office equipment and follow up on periodic maintenance with the competent departments.
Qualifications and Skills Required for the Job:
- The applicant must hold a bachelor's degree or diploma in business administration or management information systems or any related field.
- The applicant must have at least one year of previous experience in the field of secretarial work or office management, preferably in an academic institution.
